3 Technical Document Generator our tool With the Technical Document Generator (TDG) all global master of the technical datasheets (TDS) will be generated These global master version will be translated by the local administrator directly in the TDG tool All local version will be a faithful copy of the global master (content and layout) Version controlled, any amendment later made to the global master will creates a new version, local admins have to localize it again -> ongoing process Going forward all TDS s will be created in the TDG, for both global and local version - these will be back loaded to GPC/ePC Copyright of Shell Deutschland Schmierstoff GmbH September

5 Keyword database How to get there Click on the left side on Administration Select Translation Select the correct language And go to Keyword Translations Copyright of Shell Deutschland Schmierstoff GmbH September

6 Keyword database Search for empty fields Make a tic at Show Empty And click on Submit You receive the list of not translated words and phrases Start to fill it Copyright of Shell Deutschland Schmierstoff GmbH September

7 Keyword database How to fill empty fields Write in the correct translation You can fill all empty fields on one screen Click on Save Copyright of Shell Deutschland Schmierstoff GmbH September

8 Keyword database Search for existing translation Enter in to the Keyword field the word or phrase you are looking for Select at Order By English Text (A- Z) if it s an English word Or you can do the same for local language Click on Submit Copyright of Shell Deutschland Schmierstoff GmbH September

11 Translating a datasheet Country Configuration Add first you have to match your local portfolio Go to Administration Click on Country Configuration Copyright of Shell Deutschland Schmierstoff GmbH September

12 Translating a datasheet Country Configuration Click in the middle on the numbers First possibility You choice Select / Deselect all at the top Click on Save Result: You have all available products in your list Second possibility You select product by product Click on Save Result: You have your local portfolio available If new products are available, you have to do it again Copyright of Shell Deutschland Schmierstoff GmbH September

13 Translating a datasheet Searching for products Go to Administration, Translation, select the correct language Click on Product Authorship Fill in the field Lubricant Name the name of the product / product group you are looking for Click Search Copyright of Shell Deutschland Schmierstoff GmbH September

16 Translating a datasheet Translating The translation which has been made by the system, will be done word by word without any grammar rule If the system don t know one word it will stay in English language Especially for this example it can be helpful to add the product name into the Keyword database, so that High and Speed will not be translated Copyright of Shell Deutschland Schmierstoff GmbH September

17 Translating a datasheet Translating Adding word & phrases to the keyword database Mark the English word or phrase Copy and Paste it into a word or excel file Correct the local language translation and copy and paste it into your file too After finishing the translation of the datasheet, you can go to the keyword database and add the new words or phrases Copyright of Shell Deutschland Schmierstoff GmbH September

18 Translating a datasheet Translating After you have made all the changes for one screen you have to click on Save You can click on the Approve Section Button, or approve later the complete TDS Click on [ Back to translation ti master ] Copyright of Shell Deutschland Schmierstoff GmbH September

20 Translating a datasheet Formatting It can happen that the format is not the best according to page break or columns On the top of the screen click on Content Details Click on Edit Layout Copyright of Shell Deutschland Schmierstoff GmbH September

21 Translating a datasheet Formatting For an oil a VT diagram can be added Click on Performance graphs The diagram will be shown as curve You can change it to none graph Or add a local graph, the file has to saved as.jpg When you have made all the changes as you want, click on Save Copyright of Shell Deutschland Schmierstoff GmbH September

22 Translating a datasheet Re-Translating It can happen that you made the first translation before you have added enough keywords and phrases and you want to make a new translation by the system On the top of the screen click on Content Details Then click on Reset translations ti You will be asked to confirm, that you really want to re-translate You will come back to the list and can select the product again for translating Copyright of Shell Deutschland Schmierstoff GmbH September

23 Translating a datasheet Uploading to GPC After finishing the translation process including the correct formatting you can upload the TDS to GPC On the top of the screen click on Content Details You have to approve all sections at first and dthen Publish will get usable Click on Publish You have to accept that you have done a faithful copy of the master and click on Yes Copyright of Shell Deutschland Schmierstoff GmbH September

24 Translating a datasheet Uploading to GPC A mail will be send to the GPC Team and you received a copy of it After some time the TDS will be shown on the GPC and epc Copyright of Shell Deutschland Schmierstoff GmbH September

25 Reprocessing an already translated TDS

26 Reprocessing an already translated TDS Go to Translation and click on Product Authorship and change Translation Statuses into Full In the field Lubricant Name enter the name of the product Click on Search Select the product and click on Edit Copyright of Shell Deutschland Schmierstoff GmbH September

29 Create new Revision of an TDS You receive automatically an system generated mail, when the global master has been updated Then it s your job to update your local version soon So that you have again a faithful copy of the global master Copyright of Shell Deutschland Schmierstoff GmbH September

30 Create new Revision of an TDS Go to Translation and click on Product Authorship h and change Translation Statuses into Full In the field Lubricant Name enter the name of the product Click on Search Sl Select the product and click likon Edit Copyright of Shell Deutschland Schmierstoff GmbH September

31 Create new Revision of an TDS Go to Content Details and click on Create New Revision The system needs some time The changes will be highlighted by the system Copyright of Shell Deutschland Schmierstoff GmbH September

32 Create new Revision of an TDS Search for the highlighted areas in your TDS Only in this area you have to translated your local TDS again, if you forgot it, this updated text will be shown in English For all not marked areas the text will be used as you have translated before Copyright of Shell Deutschland Schmierstoff GmbH September
